One of the most powerful features of MAGIQ Documents is the ability to retain multiple versions of a document.

MAGIQ Documents does not allow more than one person to edit a document at the same time. This is accomplished through the "Check In - Check Out" mechanism.

When you check out a document, other users can still view the contents of the document, but they cannot edit it.

Other users can also see that this document is checked out to you because the document name appears red.

To edit a document, you must have at least "Change" rights on the document or be a user with one of the following roles:

  • Library Manager
  • Document Owner.

Note

Library policies have an overriding effect on security and roles. So library policies may disallow the editing of documents by one or more of the above roles.

To check out a document

  • Select the document(s) you wish to Check Out by clicking on the check boxes located next to documents.
  • Once you make your selection, click Edit > Check Out or

  • For a single document, click on the Action menu and choose Check out.

  • Now that the document is check out to you, click on the document to download it to your workstation.
  • Once you make the desired changes to the document, you must Check In this document.
    Checking in a document will release the document lock and create a new version of the document.
