Create a new library

Properties

Change the library attributes, such as library name, allow anonymous access, hidden library and the welcome message.

Delete

Delete the library and all its contents.

The Delete Library Screen provides a summary of what is contained within the selected Library.

All documents and folders removed as part of the library deletion can be restored via the System Recycle Bin.

Note

If a Library has been deleted and you wish to restore it to its original state, the library itself will need to be manually re-created; members and security will also need to be re-assigned. After re-creating the library all lost folders and documents can be restored back into the Library via the system recycle bin.

Archive this library

Archived libraries place documents and folders into an "offline" state. No change is made to Folder or document security, and the functionality remains unchanged.

Archived libraries can be used for retention and disposal purposes or converted data.

The document library tab displays the library folder in purple.

Note

Archived Libraries are only visible if the option if Show archive libraries is selected from the View menu > Library View options within the document library.

Documents and folders in an Archive library can only be searched if using the search scope of 'All documents' or 'Archive only'.

Library Policies

Library policies define the actions allowed in each library as well as who can perform the action

Members

Assigns Users and User Groups as Members to Libraries.

Libraries can only be accessed by their members / users (except for Anonymous Libraries).

Note

The system administrator must be added to all libraries otherwise they won't be able to perform functions.

Note

Users and User Groups who are already Members of a Library will not appear in the lists provided when adding new Users or Groups.

Note

Users and User Groups can be members of multiple Libraries. Libraries are not visible to users who are not members.

Local groups

A Local Group is a group of users that can only be associated with the Library it was created in. For example, if the Subject Files (BCS) Document Library was selected and a Local Group was created that Group could only ever be a Member of the Subject Files Document Library.

Local users

These users are created within individual Libraries and cannot be given access to other Libraries. Local users can perform the same functions as regular users but only in their defined Library. A Local user overrides the security of a global user.

Library manager(s)

The Library Manager can view any document or folder within a Library regardless of its security. Library Policies can be modified to give Library Managers further permissions.

Note

Creating one or more Library Managers for each Library is a good strategy, keeping in mind their elevated security level. System Administrators can delegate many administrative functions to other users.

Statistics

Displays statistics for the selected library.

Display the total number of documents, checked out documents, folders, the size of the library, how many local users, local user groups, library members, global user groups and workflow definitions exist for the library.
