Tidying the Correspondent Lookup¶
With end users and records staff registering documents constantly into MAGIQ Documents, the correspondent's lookup area gets populated with numerous entries, due to spelling mistakes, users not adhering to the organisation's business rules or creating a new correspondent without using the lookup.
To tidy the correspondent lookup¶
- Search for the incorrect correspondent within the Correspondent Information Custom Property set
- With all documents displayed, choose Action menu > properties
- Scroll to the Correspondent Information section, click Edit

Click Select next to either Surname or Organisation Name and select the correct entry.
If the correspondent should be a different name, delete the name, enter the first few characters and click Select

This will need to be repeated for each document that has the incorrect correspondent information.
If correspondents still exist even though you have gone through the above, you will need to purge the contents of the system recycle bin as document metadata is held until the document is completely deleted.
The alternative to this is to integrate with your property name and address register.
