Outlook Connector¶
Q. Why does Outlook sometimes seem to take longer to open after the Outlook Connector has been installed?
A. This is due to the .NET Framework having to load into memory if it was not previously loaded by any other application which uses it - for example if your PC was rebooted and Outlook is the first application that was opened
Word or Excel Connector¶
Read Only Documents or Spreadsheets
If a document or spreadsheet is marked as read only, on submit you will be displayed with a warning message of “This document is Read Only. Hint: Save as a new document before saving to MAGIQ Document”.
Solution – before opening the document or spreadsheet, right mouse click, select proeprties, and untick ‘Read only’.
Warning the installed connector version is not certified for the version of MAGIQ Documents you are connecting to (n.n.nnn)
Contact your Administrator to check that you have the correct version of MAGIQ Documents and Connector installed.
Indicates the MAGIQ Word/Excel/Outlook Connectors "connect" to MAGIQ Documents (either for the eDRMS Pane or the Application Preference Settings) AND the version is less than the minimum version.
Folder Paths:¶
Local Checked-out Doucments = ‘[LocalApplicationData]\MAGIQ Documents\Checked Out\’ for example ‘C:\Users\Trevor\AppData\Local\MAGIQ Documents\Checked Out\15800\ACME contract.docx’.
Read Only Documents = ‘[Path.GetTempPath]\MAGIQ Documents\ReadOnly\’ for example ‘C:\Users\Trevor\AppData\Local\Temp\MAGIQ Documents\ReadOnly\5588\NEW contract.docx’.
Closing the document deletes the subfolder and document from ‘[Path.GetTempPath]\MAGIQ Documents\ReadOnly\’.
MAGIQ Office Templates = stored in MAGIQ Documents. Within Form Templates\infoXpert Office Templates or Form Templates\MAGIQ Office Templates.
Connection Issues¶
Unable to connect to MAGIQ Documents. Do you want to open the Application Settings to check your login settings?
This occurs due to selecting the document actions of Save current document to eDRMS, Create New Document from Template and Open Document from eDRMS.
Yes opens the Application Preference Settings to confirm details.
Unable to connect to MAGIQ Documents. Do you want to work in Offline Mode?
This occurs due to selecting the document action of Open Local Checked-Out Document.
The connector attempts to login to MAGIQ Documents. As no connection is found, you are prompted to work offline.
Yes to work offline. The version save tab will be available however; you will be unable to save the document into MAGIQ Documents until a connection is successful.
Error or Validation Messages¶
A document with this name already exists in the folder. Please assign a unique name to the document.
Indicates a document already exists in the target folder with that name. Change the name of the document to register successfully.
Do you want to delete the document from the original location? Document ID: nnnnn Document Name: xxxxxxx.xxxx Document Path: ..\xxxx\xxxx\xxxx\
Indicates the document did not originate from the "Local Checked-Out Document" folder, which is not automatically deleted.
Yes Deletes the document.
No the below message is displayed.
Document ID nnnnnn does not exist Hint: Leave the ‘Optional Doc ID field blank and click Next which will enable you to browse or search for the required document.
Indicates that the document Id entered on the document tab is incorrect.
OK Returns to MAGIQ Documents Panel.
Error Occurred creating folder. Reason: This folder is restricted. New folder cannot be created under this folder
The “\Form Templates\MAGIQ Office Templates; \Form Templates\infoXpert Office Templates” folder does not exist within MAGIQ Documents. Contact your system administrator to configure this folder which will enable you to utilize this template function.
Indicates the MAGIQ Office Templates folder does not exist in MAGIQ Documents.
The current version has not been saved. Do you wish to continue and discard any changes? (If click Yes any changes since the last Save to eDRMS will be lost).
Indicates the current document has not been saved when trying to restore a previous version.
The date of the doucment in the local Checked-Out Doucment folder is earlier than the latest version in MAGIQ Documents. Do you want to continue to open the local checked-out document?
Indicates document version within the "Local Checked-Out Document" folder is dated earlier than the latest version date in MAGIQ Documents.
Yes opens the document with the Version Save tab enabled and the Next Version Number field incremented by one.
No returns to the Open MAGIQ Documents Local Check-Out Document window.
The document cannot be checked out Reason: Check Outs are not allowed in this folder. Do you want to open a Read Only Copy?
Indicates the document cannot be checked out due to folder rules, document security.
This document has not been saved to MAGIQ Documents and is still checked out to you Do you want to close the document without saving the changes?
User has closed a document without saving the changes. (unsaved documents opened from eDRMS and still checked out to the user).
No cancels the Close action and returns to the document.
Yes displays the following message.
A secondary message may display of: "Do you want to keep the document checked out to you and retainsed as a Local Checked Out document?"
Yes closes the document (without saving) and remains in the Local Checked-Out Document folder with the document checked out/locks in the eDRMS.
No checks in the document using the unlock API command. The document is deleted from the Local Checked-Out Document folder without saving.
The document in the local Checked-Out document folder appears to be a later version to the document in MAGIQ Document. Document Name: xxxxxx.xxxx Local Checked-Out folder: Last modified dd MMM yyyy hh:mm:ss MAGIQ Documents: Last modified dd MMM yyyy hh:mm:ss
Indicates the document already exists in the "Local Checked-Out Document" folder and the document has a later date or version number than the document in MAGIQ Documents.
Open from Local folder opens document from the "Local Checked-Out Document" folder.
Open from MAGIQ Documents checks out and download the document from the eDRMS (overwriting the existing document in the "Local Checked-Out Document" folder).
The document is locked for editing by xxxxxxx<?br> Do you want to open a Read Only Copy?
Indicates the document is already checked out to another user.
This document is locked in MAGIQ Documents for editing by xxxxx<?br> Do you want to open the document in offline mode?
Indicates the document is checked out by the user specified.
Yes opens the document - fields in the Version Save tab are disabled (including the Save to eDRMS button).
No returns to the Open MAGIQ Documents Local Checked-Out Document window.
The document needs to be in one of the following file formats Registering a new document via the document action of Save Current Document to MAGIQ validates the document or spread sheet extension.
The acceptable file formats for word are: .DOC - Word 97-2003 document, .DOT - Word 97-2003 template, .DOCX - Word 2007 or 2010 document, .DOTX - Word 2007 or 2010 template, .DOCM - Word 2007 or 2010 macro-enabled document, .RTF - Rich Text Format, .ODT - OpenDocument Text (if possible).
The acceptable file formats for excel are: .XLS - Excel 97-2003 spread sheet, .XLT - Excel 97-2003 template, .XLSX - Excel 2007 or 2010 workbook, .XLSM - Excel 2007 or 2010 macro-enabled workbook, .CSV - Comma Separate Value text file, .ODS - OpenDocument Spreadsheet (if possible)
If is not a valid file format it displays a message.
The document was unable to be saved to MAGIQ Reason: This folder is restricted. New document cannot be created in this folder.
Indicates the folder rules do not allow documents to be uploaded. Select a different folder path.
The extension cannot be changed for an existing document.
Indicates the document extension is changed to something other than what the initial extension was. For example agenda 123.docx to agenda 123.doc.
OK reverts the document extension back to the original.
Too many folders to navigate - displays if a folder contains more than the maximum folders/documents to display specified in the Application Preference Settings.
Too many objects - first nnn documents & folders displayed - displays if a folder contains more documents and folders than the maximum folders/documents to display specified in the Application Preference Settings.
Unable to locate Document ID nnnnn in the eDRMS Name: xxxxx.xxxx Do you want to open this as a New Document that can be saved to the eDRMS?
Indicates the document no longer exists in MAGIQ Documents. a message is displayed when opening the document from the "Local Checked-Out Document" folder.
Yes opens the document. The MAGIQ Documents panel displays the document tab (other tabs are hidden), ready for the user to select Save Current Document to eDRMS.
No returns to the Open MAGIQ Documents Local Checked-Out Document window.
