The Email and Notification Settings give the system administrator the ability to modify the way emails and notifications are handled by MAGIQ Documents

To view or change the E-mail and Notification Settings, perform the following.

  • Navigate to the MAGIQ Documents Control Panel
  • Click E-mail and Notification Settings. The E-mail and Notification Settings window will appear.

Note

That some of the settings can be changed from this screen but some settings are defined in the web.config file and must be changed there.

This window simply shows/displays the settings in the web.config file.

The E-mail and Notification Settings parameters

SMTP Settings:

SMTP Server Name:

This setting determines the SMTP Server Name that MAGIQ Documents is going to use when sending out e-mail notifications. This is "localhost" by default but you can specify a remote SMTP Server Name if you wish.

SMTP Server Port:

This setting is the SMTP Port number to be used in the SMTP Server specified above. It is Port 25 by default.

SMTP Connection Timeout:

This setting determines the time it should take to establish a connection with the SMTP Server specified. If this timeout is exceeded, the e-mail is aborted.

SMTP User Name:

This setting is the User name to be used when establishing a connection to the SMTP Server for SMTP Servers that require authentication.

System E-mail Address:

This setting is used when e-mails are sent out. This value appears in the "From" portion of the outgoing notification emails. If you do not specify this setting, your SMTP Server will most likely move MAGIQ Documents notification e-mails to the BAD MAIL folder.

Important Note:

Please check your SMTP Server Configuration parameters to make sure that the limit you set here matches the limit set there.

Also note that a document will be doubled in size when sent as an e-mail.

Subscription settings

Enable Email Notifications

Allows Email Notifications of subscription events.

Allow Email Attachments

Allows documents to be attached to subscription notification emails. User profile must have 'Receive documents as attachments' set to YES

Attachment Size Limit (KB)

Specifies the maximum size of an attachment in KB. If set to 0, no limit is enforced.

Send new document notifications when documents are dragged into MAGIQ Documents

Allows a new document notification email to be sent when a document is dragged into

Date field time zone format in email notifications

Select the correct time zone format so that the dates appear correct in email notifications.

Send To settings

Enable Send to feature

Allows users to send documents via Email using the Send to feature on the action drop down menu.

Enable Attachments

Allows the document to be attached to the Email. If not checked, the recipient will only receive a link to the document and must be an MAGIQ Documents user to access the document.

Display User List

Displays a "Select" button next to the Recipients box so that MAGIQ Documents users may be selected from a list.

Send emails from user's email address

Allows the user's email address to be used instead of the system email address specified in the SMTP Server Settings.

Send a copy to (BCC)

All emails sent out of MAGIQ Documents using the 'Send to' feature will be sent to the specified email address. It is recommended that you use an email address that cannot be access by all staff.

MS Outlook Integration

Allow partial e-mail uploads

Allows users registering emails via outlook add-ins to remove selected or all attachments from emails during registration.

Does not relate to the outlook connector.

Truncate long email fields (to, from, cc, bcc) and accept email

Emails with a large number of recipients will be truncated in the document properties, but on reading the email all recipients will display.
